Privacy Policy

Cheer Studio is a routine choreography and team management service for competitive cheerleading, available on the web and as apps for iPhone, iPad, and Mac. This policy explains what we collect, why, and what you can do about it.
Cheer Studio is designed to be used by coaching staff and program administrators. Much of the data in it describes athletes, and most competitive cheer athletes are minors. We treat that data as sensitive throughout.
Who controls the data
When an organization (a gym, program, or team) signs up, that organization decides what athlete information to enter and who on its staff may see it. The organization is the controller of that information; Cheer Studio processes it on their behalf. If you are an athlete or a parent or guardian and want to see, correct, or remove athlete information, contact the organization first — they can act on it directly. You can also reach us and we will help.
What we collect
Account information
- Your name, email address, and (optionally) phone number.
- Your role in your organization — for example owner, head coach, assistant coach, choreographer, team manager, athlete, or parent.
- Authentication data, including a hashed password and session tokens. We never store your password in a readable form.
Athlete and roster information entered by coaching staff
- Name and display name, team assignments, and competition position.
- Date of birth, where entered, which is used for age-division eligibility.
- Emergency contact details: name, relationship, phone numbers, and email.
- Optional medical information: allergies, conditions, medications, and insurance details, recorded so staff can respond appropriately at practice and competition.
- Skills, levels, and verification status.
Content you create
- Routines, formations, sections, and timing data.
- Teams, seasons, competition results, and scoring data.
- Coach certifications and, where enabled, athlete showcase profiles.
- Files you upload, such as music tracks and images.
Technical information
- A user identifier used to attribute your changes and show who else is editing a routine with you.
- Standard server logs and security information needed to operate and protect the service.
What we do not collect
- We do not collect your location.
- We do not store payment card numbers. Card details go directly to Stripe and never touch our servers.
- We do not track you across other apps or websites, and we do not sell your information.
- The iPhone, iPad, and Mac apps contain no advertising or analytics SDKs and collect no advertising identifier.
Why we use it
- To provide the service: building routines, managing rosters, and syncing your work across devices.
- To authenticate you and keep accounts secure.
- To show real-time collaboration — who is present in a routine and what recently changed.
- To bill organizations on paid plans and to provide support when you ask for it.
- To meet legal obligations and to investigate abuse or security incidents.
We do not use athlete information for advertising, and we do not use it to train machine learning models.
Athlete showcase profiles
An athlete may have a showcase profile intended for recruiting. Showcase profiles are private by default. A profile can only be made shareable after explicit guardian consent is recorded, and visibility can be changed back at any time. If a profile is made shareable, anyone holding the link can view what it contains — so treat the link as public.
Who we share it with
We share information with service providers who help us run Cheer Studio, and only as needed:
- Neon — the managed PostgreSQL database that stores application data.
- Vercel — hosting and content delivery for the web application and API.
- Stripe — subscription billing and payment processing.
- Resend — transactional email such as invitations, verification, and password resets.
- Google Firebase — real-time collaboration presence and activity feed data.
- Vercel Blob — storage for uploaded files.
- Sentry — error monitoring.
We also share information within your own organization according to the roles your administrators assign. We may disclose information if legally required, or to protect the rights and safety of our users. If Cheer Studio is ever involved in a merger or acquisition, we will give notice before information becomes subject to a different policy.
How long we keep it
We keep account and organization data for as long as the account is active. When an organization closes its account, we delete or anonymize its data within 90 days, except where we must retain records to comply with law, resolve disputes, or enforce our agreements. Backups are retained on a rolling schedule and are overwritten in the normal course.
Security
Data is encrypted in transit. Passwords are stored using a one-way hash. Access is scoped by organization and by role, and administrative access is limited to staff who need it. No service can promise perfect security, but if a breach affects your information we will notify you as required by law.
Your choices and rights
- You can view and edit your own profile information in the app at any time.
- You can request a copy of your personal information, or ask us to correct or delete it.
- You can ask that an athlete record be corrected or removed — contact your organization, or us.
- You can opt out of non-essential email. Service messages such as password resets are required to operate the account.
To make a request, email support@cheerstudio.pro. We may need to verify your identity, and we may direct requests about athlete records to the organization that entered them.
Children
Cheer Studio accounts are intended for adults — coaches and program staff. We do not knowingly create accounts for children under 13. Information about minor athletes is entered by their organization, not collected from the athletes themselves, and is handled as described above. If you believe a child has created an account, contact us and we will remove it.
International transfers
Cheer Studio is operated from the United States, and information is processed there. If you use the service from another country, you understand that your information will be transferred to and processed in the United States.
Changes
We may update this policy. If a change is material we will give notice in the app or by email before it takes effect, and we will always update the date at the top of this page.
